JOB DESCRIPTION
In this capacity, the ideal candidate would represent the FIRST brand as an implant on one of our
Solutions accounts within a major Financial Services institution. The Associate Project Manager will
consistently deliver exceptional service to our clients through excellent project management and
will be an integral part of the overall Conferences and Events team responsible for managing,
supporting and/or executing the coordination of conferences and events. S/he will be responsible
for managing several internal and client facing programs at a time.

RESPONSIBILITIES:
Work in tandem with and supporting project managers and event team
Keep event files current to fully brief team members
Facilitate the flow of information seamlessly and accurately
Work to the budget agreed on by the client and notify project managers if there are changes to the costs
Research new suppliers, contacts and venues and offer proactive ideas
Familiar with new and up-and-coming venues and event spaces
Database management when required; including data cleaning, data input, mailings etc.
On-going maintenance and adherence to the company’s standard operating procedures
Provide on-site project management support at events such as creating an on-site staffing plan
Reinforce the company’s brand amongst our partners, sub-contractors, venues and the industry
Deepen relations with existing clients and maximize on all opportunities to generate new business
Management of vendors contributing to event (gifts, printed materials, etc.)
Organize shipment of on-site materials
Provide support with attendee management and registration
Support other members of the conferences and events team when applicable, both on-site and pre-conference in one of the following capacities: speaker management, one-on-one coordinator, rooms manager, ground transportation, data entry, etc.
Travel (10% annually) for site inspections and on-site management of events to ensure full coordination of logistics and on-site teams
QUALIFICATIONS:
3 – 5 years’ of Event Management/Support experience (preferably in the Financial Services Industry)
Bachelor’s Degree required
Excel, PowerPoint and Microsoft Office proficiency
Resourceful and creative problem solver
Able to take direction and run with it
Excellent verbal and written communication
Strong adaptability to situations and ever changing demands
Highly organized with ability to handle multiple tasks to meet strict deadlines
Excellent time management skills
Ambitious and proactive
A calm and flexible approach to handling pressure and stress
Detail oriented
Willing to travel to various locations for site visits and on-site management of events
PREFERRED QUALIFICATIONS:
Knowledge of venues and suppliers in key international cities
Experience working with large and complex databases
Experience with Lanyon (Starcite) & Dealogic a plus
ADMINISTRATION & GENERAL:
Assume responsibility for own environment, ensuring adherence to health and safety policies while having clean smart surroundings
Work intelligently and ensure that the Team Manager is aware of problems or issues which negatively affect productivity
Work on ad hoc requests from clients as required
